HomeMy WebLinkAbout10 A - Telephone System Installation for Fire Station No. 2 MEETING DATE: AGENDA #: PREPARED BY: AGENDA ITEM: DISCUSSION: FINANCIAL IMPACT: CITY COUNCil AGENDA REPORT MAY 19, 2008 10 A Ralph Teschner, Finance Director CONSIDER APPROVAL OF A RESOLUTION AUTHORIZING TELEPHONE SYSTEM INSTAllATION FOR FIRE STATION #2 Introduction The purpose of this agenda item is for the City Council to consider the approval of a resolution that would authorize the purchase and installation of a telephone system at the new fire station. Current Circumstances A Panasonic KXTDA50 phone system was selected since we already have Panasonic phones in place in City Hall and the Police Station. By doing so we maximize the flexibility of the system and avoid having different equipment to maintain. The telephone system would include the following components; 1. Panasonic phone system - (9 phones) 2. Three phone line configuration plus fax line Telephone locations will be in the three main offices, dispatch, training and SBA equipment rooms plus the kitchen, the Allina Ambulance office and a spare phone. Quotes were obtained from the following three companies: 1. Jim Mielke (Advantage Communications) is completely familiar with our system design and requirements which is advantageous in keeping the cost for installation and on-going maintenance at a minimum since Advantage Communications currently provides telephone maintenance support for all City buildings including the Maintenance Center, Fire Station #1 and the Library Resource Center. The proposed cost for the telephone system is $3,885.18 and funding would be appropriated from referendum dollars within the Building Fund. The construction budget for Fire Station #2 had an allowance estimate of $15,000 for pulling the phone/data lines and phone system equipment. www.cityofpriorlake.com Phone 952.447.9800 / Fax 952.447.4245 ALTERNATIVES: An agenda item will be placed on the June 2, meeting addressing the installation of the data/phone lines. Together, these costs are expected to be less than the $15,000 allotted for this purpose. The following alternatives are available to the City Council: 1. Adopt a Resolution Authorizing Telephone System Installation for Fire Station #2 to Advantage Communications, LLC in an amount not to exceed $3,885.18. 2. Table this item for a specific reason. Prior Lake, MN 55372-1714 RESOLUTION 08-xx RESOLUTION AUTHORIZING TELEPHONE SYSTEM INSTALLATION FOR FIRE STATION #2 MOTION BY: SECOND BY: WHEREAS, Fire Station #2 is under construction and requires the purchase and installation of a RaW telephone system to serve the facility; and WHEREAS, The City wishes to maintain an integrated phone system common to all city buildings; and WHEREAS, For purpose of efficiency it is desirable to support the City's phone system under an umbrella maintenance service agreement; and WHEREAS, The following quotes has been solicited and received; and 1. Advantage Communications 2. Cities Communications, Inc. 3. Business Telephone Products $3,885.18 $3,935.18 $4,137.75 WHEREAS, The proposed telephone system cost is below the construction budget allowance estimate. NOW THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF PRIOR LAKE that: 1. The recitals set forth above are incorporated herein. 2. Based upon lowest cost, Advantage Communications, LLC is hereby authorized to install a Panasonic phone system in Fire Station #2 as specified. 3. Funds for this purpose shall be appropriated from the Building Fund 420-70305-570 in an amount not to exceed $3,885.18. Passed and adopted this 19th day of May, 2008.
