HomeMy WebLinkAbout4 - Volunteer Appreciation Day AGENDA NUMBER: PREPARED BY: SUBJECT: DATE: INTRODUCTION: BACKGROUND: DISCUSSION: HERITAGE 1891 COMMUNITY 1991 CUTJ.5f!)JV 2Qgt 4 Kay Schmudlach, Assistant city Manager Consider Volunteer Appreciation Day April 16, 1990 The Prior Lake City Council authorized funds in 1990 to host a Volunteer Appreciation Day for the many Prior Lake citizens who generously give time to the community. Staff has been working with Mayor Andren to prepare for the Volunteer Ap~reciation event. This agenda item will summarlze the proposed event for city Council review, modification and approval. The Volunteer Appreciation event was initiated in 1988 in conjunction with Earth Day. The 1988 volunteer Appreciation event included a ceremony on the front lawn of City Hall. Mayor Andren and City Manager Unmacht presented Certificates of Appreciation to over 100 volunteers representing many Community Service organizations. The event was very successful and many positive comments were received by participants. The Volunteer Appreciation event was not duplicated in 1989, but the idea surfaced again as the City Council prepared the 1990 Budget. The Prior Lake 2000 Report also recommended that volunteer appreciation and recognition be performed on a regular basis. The 1990 Volunteer Appreciation Day has been scheduled for Thursday, May 31. The event will take place on the city Hall front lawn or in the City Council Chambers in the event of rain. The event will begin at 4:30 p.m. with an open house. An informal ceremony will begin at 5:00 p.m. and the Mayor and City Manager will be addressing the volunteers. Invitations will be sent to all Community Service organizations requesting that the president of each club represent their organization by accepting the Certificates of Appreciation. (612) 447.4230 / Fax (612) 447.4245 BUDGET IMPACT: ALTERNATIVES: RECOMMENDATION: Authorized Committees and Volunteer organizations will be invited to receive a Certificate of Appreciation. Staff will be taking care of the invitations, the Certificates of Appreciation, name tags, refreshments and other details of the event. One new element of the Volunteer Appreciation Day is being added to the event: A Volunteer of the Year Award will be advertised in the Prior Lake American. The award will be presented to the Prior Lake volunteer who has given the most to the Community during the past year. Nominations will be taken through the paper, and the city Council will be asked to appoint a Review Committee to select the winner. Staff recommends that the Review Committee consist of the Mayor, one Council Member, and the City Manager. Staff does not anticipate that this event will exceed the 1990 budget amount of $l,OOO. Staff has identified the following alternatives: 1. The City Council can approve the attached Volunteer Appreciation Action Plan as prepared and a~point a Review Committee. 2. The City Counc1l can approve a modified Volunteer Appreciation Action Plan and appoint a Review Committee. 3. The.City Council can table this action for a later date. staff recommends the City council approve either alternate 1 or 2 approving the Volunteer Appreciation Action Plan and appointing a Review Committee. VOLUNTEER APPRECIATION ACTION PLAN ACTION STEPS 1. Identify all Prior Lake volunteer groups and update contact person 2. Set date for volunteer appreciation social (May 31) Reserve council Chambers or other room 3. Draft letters from Mayor to all club presidents and all members of City Commission 4. Draft an add in paper for volunteer of the year award and set guidelines for contestants 5. Contact the Prior Lake American regarding ad 6. Send out all letters with Mayor's signature 7. Take R.S.V.P.'s 8. Order food and punch 9. Organize Certificates and have printed 10. Review nominees for volunteer of the year 11. Make name tags for all participants 12.
